Grants Manager - Grove Action Fund

We are seeking a collaborative, proactive, results-oriented person to join our highly committed team. The Manager, Grants Administration will serve the mission of both Grove Action Fund and The Grove Foundation by leading our grants management systems and ensuring that both organizations have consistent, efficient, compliant, informative and grantee-supportive grants management processes.

About the Grove Action Fund:

The Grove Action Fund is a Los Altos-based 501c4 social welfare organization that was established in May 2018. The organization is seeking to effect positive changes in policies related to reproductive health, rights and justice; immigrant rights; climate justice; social safety net services; and civic engagement of historically marginalized communities. The Grove Action Fund has an agreement with our sister organization, The Grove Foundation, to which Grove Action’s team provides advisory and business services. Founded in 1986, The Grove Foundation is a philanthropic family foundation with an overarching mission to create an America where all people have equal rights; freedom from stigma and discrimination; access to basic needs and services; economic opportunity; and the ability to participate fully in our democracy. In both Grove organizations, we take a collaborative, integrated, and active approach to our grantmaking across our program areas. We have a strong commitment to racial justice and equity, and highly value having a diverse team. The Grove organizations are planning to spend down, likely in the next 10-20 years.

Key Responsibilities:

  • Ensure that grants processes for both organizations are well-designed, simple, and clearly articulated, documented, and understood by all relevant staff. Seek feedback from grantees and staff and refine processes as needed to improve them and make them more user-friendly

  • Understand compliance issues and help to ensure that the organizations are compliant with c3 and c4 grantmaking laws, regulations and best practices; organize and document legal reviews as needed

  • Together with the Manager, Technology, oversee overall utilization of our Fluxx-based grants management system and ensure that it serves staff and grantees well and is reflective of the unique culture and practices of the Grove organizations

  • Execute grants administration for the c3 civic engagement and environment programs, as well as all c4 grants, including: grant budget planning and monitoring; entering grants into the system; ensuring we have documentation needed; selecting grant templates; securing signatures; requesting payment processing; and reporting/follow-up as needed. This is approximately 100 grants across both organizations

  • Support the program managers/officers for the other program areas as is needed to ensure a consistent and compliant overall grants administration system

  • Design, run, and help to interpret reports and conduct data analysis with regard to our grantmaking, including: collecting and reporting on budget, program and diversity data; ensuring data quality; performing ad hoc research and analysis (including data analysis); and producing presentations/reports as needed related to grantmaking

  • Coordinate with and support the controller with audit preparation

  • Carefully maintain appropriate boundaries between the distinct aspects of the Fund’s and the Foundation’s work

Desired Experience, Skills, Attributes and Education:

  • The ideal candidate will have a minimum of 5 years’ experience working in a relevant role

  • Skilled in the Microsoft Office Suite and proficient in database management; experience with Fluxx is a plus

  • Excellent organizational skills; strict attention to detail/accuracy and follow-through

  • Commitment to high-quality work

  • Familiarity with c3 and/or c4 grantmaking-related compliance/legal issues

  • Excellent interpersonal and communications skills, including an awareness and thoughtfulness about the role of a grantmaker and a strong customer service orientation toward grantees and colleagues

  • Ability to analyze, synthesize and present data

  • Proactive; able to identify issues and propose solutions

  • Team player; willing to help make a small organization run effectively

  • Ability to work in multi-cultural environments; having an awareness and appreciation of diverse values and beliefs, and an understanding of and desire to address racial bias and injustice

  • Flexibility, positive attitude, willingness to help others, and a sense of humor. Love of coffee and/or chocolate a plus

  • Values and interests consistent with the goals of the Grove organizations

Salary:

The salary range for this position is currently $82,000 to $122,000. Competitive benefits, including healthcare, a 401K plan, and a sabbatical program, are offered.

Other:

This job is 80% (30 hours per week) to full time (37.5 hours per week) and is based in Los Altos, California. Travel (within the United States) is required an estimated 10 – 15% time. Flexible hours and some telecommuting is permitted, as mutually agreed upon, so long as travel, meetings and other job expectations can be managed. (Currently, most staff telecommute 1-2 days per week.) We also have a commuter policy that supports taking public transit, carpooling, and using low emission vehicles.
