Nonprofit Fund Development Coordinator - Science from Scientists

Science from Scientistsis a nonprofit organization with headquarters in Boston, MA and offices in Burlingame, CA and Minneapolis, MN.  Our mission is to ignite interest in STEM to students, grades 3-8, in local schools within San Mateo and Santa Clara County with our unique In-School STEM Enrichment Program.

Due to the success of our program in California, we have a need for a Coordinator to assist the Fund Development Director with a wide range of fundraising tasks.  This is a part-time, administrative position, 20-25 hours per week at our office in Burlingame.  Check us out in more detail at

Responsibilities are, but not limited to, those below:

Data Management (70%):

  • Assist Director of Fund Development with tracking all solicitations for revenue, including data entry/updating information in Salesforce, Google Docs  and alternative systems

  • Produce reports from Salesforce to support development planning efforts

  • Assist in the development and maintenance of mailing lists of donors, prospects

  • Process, track and deploy all gift acknowledgements and stewardship communications

  • Oversee and maintain newsletter mailing list, including knowledge of (or willingness to learn)  Constant Contact

  • Maintain the integrity of the Salesforce database by following all procedures for proper data entry, many of which have been customized to Science from Scientists’ specifics

  • Ability to communicate with other employees in Minnesota and Boston offices to coordinate efforts and accomplish/execute tasks

Fundraising (30%)

Support Fund Development Director with implementation of organization’s fund development


  • Assist to identify, prospect and propose potential grant and major gift donor opportunities

  • Familiarity with Foundation Center Online Directory or other grant search engine a plus

  • Participate in gathering information or statistics for grant proposals and letters when needed

  • Proofreading of proposals and grant applications when needed

  • Support calendar for deadline reminders with regard to impact reports, grant applications, other fund development-related requests and requirements

  • Make initial prospecting calls to pre-approved foundations to gain knowledge and initiate relationship

  • Assist with all stewardship activities

  • Assist with scheduling and occasionally accompany Fund Development Director on visits to prospects; may also accompany or attend in place of Fund Development Director at specific meetings, class observations and/or outreach events 

  • Some grant writing as needed; no specific grant writing experience needed

  • Oversee development of quarterly newsletter page content/layout/photos

  • Knowledge of online giving campaign ideas, design and execution a plus


  • Bachelor’s degree or 3-5 years equivalent experience; 2 years fund development nonprofit experience

  • Experience in education and/or a STEM profession a plus

  • Knowledge of Salesforce, Google Docs, Word essential, with familiarity of nonprofit search engines, Slack, Dropbox preferred

  • Comfortable/confident meeting potential/existing donors and educators - professional appearance and demeanor

  • Demonstrated skill and experience with fund development, such as grant prospecting, grant writing, major donor solicitation, event planning/execution and donor relationship stewardship

  • Possess adequate cellphone to handle in-office and off-site conference calls and access various online systems

  • Strong organization capabilities and ability to prioritize and manage multiple tasks

  • Excellent written and verbal skills

  • Excellent follow through and ability to meet deadlines

  • Excellent organizational and time management skills

  • Action-oriented and adaptable problem-solver with ability to exercise professional judgment to find solutions to problems as they arise

  • Team-oriented mindset and ability to work independently

  • Ability to travel locally and work varied hours if necessary, including occasional weeknight and/or weekends.  Must have car, license and adequate insurance

  • Assistance with strategy, planning, execution of future CA Advisory Council including

    • targeting qualified members, creating roles and responsibilities, meetings & events

  • Local contacts in education, science, tech and engineering a plus

  • Passion for making science and STEM approachable to all, especially children

Compensation and Benefits:

This position is part-time, 20-25 hours per week, no benefits.  Number of hours may vary

depending on workload.  We prefer a set schedule of hours with exceptions but will consider

an alternative.
