Vista Center for the Blind and Visually Impaired – Development Assistant/Fundraising

The Development Associate is responsible for supporting the activities of the Development Team, with a revenue goal of approximately $3M. By ensuring all development administrative functions are complete, this role is responsible for: the management of Vista Center’s donor and communications database, gift entry, the donor acknowledgement process, campaign and strategic reporting, and collaborative initiatives with other departments, and communications for the organization. The position also assists development with fundraising campaigns and communication using email, social media marketing and graphic layout and creative concept designs.

Duties of Development Assistant:

Development / Database and Donor Management (60%)

  • Maintains Vista Center’s DonorPerfect database (used for donor and communications information)

    • Assume primary role for all DonorPerfect functions, processes, and training

    • Performs primary data entry and updates (for donors, prospects, vendors, contact information, etc.) and oversees and reviews the data entry of other individuals, making sure all fields are accurate and correct coding is applied

    • Continually cleans data and makes data easier to understand and accessible

    • Maintains up-to-date documentation of data process procedures and handbook for others

    • Perform global updates and mass imports of data into DonorPerfect

  • Create and run reports and lists of donors/gifts from DonorPerfect as directed

    • Involves manipulating data and finding accurate/creative ways to pinpoint specific groups of people to focus fundraising initiatives

    • Produce various monthly and event donor and financial reports

  • Coordinate with finance office and grant management to ensure timely entry and accurate coding of all donations/grants’ financial transactions

  • Process financial and in-kind gifts in a timely manner

    • Input dollar amount/gifts by donor record and campaign, leveraging relational database architecture to report and archive donor giving histories.

    • Prepare and send thank you letters and tax acknowledgements to donors

    • File paper copies as they are received, in an organized manner

  • Manage online giving

    • Keep up-to-date with donations received through Facebook and CauseVox, import to DonorPerfect accordingly

    • Manage monthly giving program through DonorPerfect

Development / Marketing and Communications (40%)

  • Assist with fundraising campaigns

    • Write and design emails, social media posts, printed solicitation materials

    • Design graphic solicitation materials

  • Collaborate with Director of Development concerning production and execution of marketing newsletters, e-blasts, and stewardship (digital and hard copy)

  • Social media and digital presence management

    • Maintain an active presence on Facebook, posting stories, etc.

    • Clean up and update Vista Center’s presence online

  • Media creation

    • Create informational videos, photo collages, graphic design pieces, etc. to be used as development material and as marketing pieces

    • Create artwork/layout and design for flyers for programs and events

    • Design stewardship pieces, annual report, etc.

  • Collaborate with program staff to author stories and craft language for the development department and other marketing/outreach needs

    • Interview clients and donors willing to give impact stories and/or quotes – keep an updated record of these for future use in the Story Log

Additional Responsibilities

  • Work with Executive Director on specific all-board-required information

  • Other duties as assigned by the Director of Development and the Executive Director



  1. Bachelor’s degree, preferably in business, communications, writing

  2. 2-3 years nonprofit, fundraising, database and accounting or similar experience

  3. Analytical thinker, working knowledge and experience with databases (DonorPerfect, Sales Force, etc… a plus), and understands how to produce data-driven reports/results

  4. Exceptional project management, strategic thinking and time-management skills, including the ability to multi-task effectively

  5. Comfortable with technology:

    • Social media (Facebook, Instagram, Twitter)

    • Graphic design and media creation (flyers, photos, videos, etc.)

    • Microsoft Office

    •  Email  Communications  (Constant Contact, MailChimp)

  6. Accuracy and attention to detail; sensitivity when working with highly confidential information

  7. Must work well under pressure, prioritize and solve problems creatively

  8. Can work collaboratively with all levels of management and staff, work independently on multiple objectives and willingness to work in an interdisciplinary team setting

  9. Ability to set priorities and meet deadlines

  10. Excellent phone, email and in-person etiquette in dealing with clients and donors

  11. A team player who understands the value he/she brings to the organization (especially during peak periods) and enjoys working in a team to produce workable solutions to projects

  12. Strong writer, creative thinker, self-starter, quick learner, and works independently

  13. Understanding and desire to support the visually impaired communities we service
