St. Francis Center: Business Office Manager

St. Francis Center is seeking a Business Office Manager to lead the financial operations and ensure the integrity of its financial records. This vital role involves assisting with budgeting and reporting, maintaining compliance with nonprofit accounting standards, and promoting transparency and accountability in the use of donor and grant funds. Additionally, the Business Office Manager will oversee essential Human Resource functions, ensuring adherence to HR regulations, and contribute to the efficient and organized daily financial operations of the organization.

Responsibilities

Accounting & Financial Operations

  • Record and reconcile daily financial transactions, including accounts payable, accounts receivable, and general ledger entries

  • Prepare monthly bank and account reconciliations

  • Research and implement credit card expense tracking system to integrate with accounting software

  • Complete month-end and year-end closing processes

  • Process Payroll semi-monthly

  • Maintain accurate documentation in accordance with GAAP and nonprofit accounting standards

  • Record investment activity monthly and meet with the Board Finance Committee Quarterly

Grants & Restricted Funds

  • Track grant revenue and expenditures, ensuring compliance with donor and grant restrictions

  • Prepare grant financial reports and supporting documentation

  • Monitor restricted and unrestricted fund balances

  • Research and implement a tracking system for restricted grants

  • Handle all the donations processed through Paypal, Fidelity Charitable, Stocks and other charitable giving portals.

Reporting & Budget Support

  • Preparing monthly financial statements and internal reports

  • Support annual budgeting and forecasting processes

  • Provide financial data and analysis to both program managers and the Board of Directors as needed

Compliance & Audit Support

  • Assist with annual audit and tax filings (e.g., Form 990, 1099’s)

  • Ensure compliance with internal controls, organizational policies, and applicable regulations

  • Maintain organized financial records for audit and review purposes

Collaboration & Support

  • Work closely with program and grants staff to ensure accurate financial tracking

  • Provide support and training to staff on financial procedures when needed

Human Resources & Administrative Support

  • Conduct new hire onboarding tasks, including completion of required employment paperwork

  • Help employees with benefit enrollment and routine benefits-related questions

  • Maintain organized and confidential personnel and payroll-related records

  • Coordinate with payroll and benefits providers to support employee setup and changes

  • Provide general administrative support related to payroll, benefits, and HR documentation

  • Support staff transitions, including onboarding and offboarding, as needed

  • Perform other administrative or operational support duties as assigned

Qualifications:

  • Bachelor’s degree in Accounting, Finance, or a related field

  • 2–4 years of accounting experience (nonprofit experience preferred)

  • Knowledge of GAAP and nonprofit accounting principles

  • Proficiency with Quickbooks and Microsoft Excel

  • Experience working with grants and restricted funds

  • Familiarity with nonprofit financial reporting and compliance

  • Strong attention to detail and organizational skills

  • Ability to manage multiple priorities and meet deadlines

Compensation

  • $75,000-85,000, plus comprehensive benefits package that includes health insurance, retirement plan, paid time off, and professional development opportunities.
