Community Foundation of San Carlos: Operations & Financial Coordinator

The Community Foundation of San Carlos is seeking an Operations and Financial Coordinator. The Community Foundation of San Carlos (CFSC) helps bring our community together through local grants, family-friendly events, and fundraising efforts that support San Carlos nonprofits and community programs. Some of our signature activities include Week of the Family, Celebrating San Carlos, and our annual year-end fundraising campaign.

Responsibilities

Donor Records & Database Support

  • Maintain donor and fundraising records in our donor database.

  • Record donations, pledges, and event revenue.

  • Keep donor information up to date and organized.

  • Prepare donor thank-you letters and tax receipts.

  • Help generate basic fundraising and campaign reports.

Financial & Administrative Support

  • Collect and organize invoices, bills, and reimbursement requests.

  • Work with our Treasurer and bookkeeper to ensure expenses are properly tracked and categorized.

  • Maintain simple spreadsheets to track event budgets and expenses.

  • Assist with questions or follow-up needed during monthly bookkeeping and reconciliation.

Event Support

  • Help manage online ticket sales for community events.

  • Track sponsor ticket allocations and guest registrations.

  • Prepare guest lists and registration reports for events.

  • Provide basic revenue and expense updates to board leadership as needed.

Qualifications

  • Experience working with spreadsheets, databases, CRMs, or donor management systems.

  • Comfort handling invoices, expense tracking, or basic bookkeeping tasks.

  • Strong attention to detail and follow-through.

  • Clear and friendly written communication skills.

  • Ability to work independently and manage small projects.

  • Nonprofit experience is helpful but not required.

Compensation

  • Part-Time, Ongoing

  • $35–$39 per hour, depending on experience

  • Flexible remote/hybrid arrangement

  • Approximately 3–5 hours per week on average (200–250 hours annually)

  • Workload varies throughout the year, with busier periods during:

    • Spring (March–May): Week of the Family and Celebrating San Carlos

    • Fall/Winter (October–January): Year-End Appeal and donor acknowledgment season
