Moonstar Charitable Organization: Program Manager
Moonstar Charitable Organization is looking for a part-time Program Manager to lead its mission and support its growth. The Program Manager will oversee daily operations, develop strategic partnerships, coordinate fundraising initiatives, and manage food procurement and meal distribution logistics. Collaborating closely with the Executive Director, Board President, and Board of Directors, this role is crucial in ensuring that Moonstar continues to deliver valuable services to underserved communities across the San Francisco Bay Area.

Moonstar Charitable is committed to combating food insecurity in the San Francisco Bay Area by delivering multicultural, nutritious prepared meals to underserved communities. The organization understands the numerous barriers many individuals face in accessing healthy food, such as limited cooking skills, lack of equipment, and time constraints. With over 30 years of food service experience, Moonstar Charitable creates meals that provide nourishment and comfort, reflecting the diverse cultural backgrounds of the local population. By partnering with Second Harvest to transform donated ingredients into warm meals, they distribute these offerings through community partners like the River of Life Christian Church in Santa Clara. Their mission is to significantly impact those in need, providing sustained support and fostering a sense of belonging within the community.
Responsibilities
1. Fund Development & Community Engagement
Goal of 2 Big Fundraising Events Annually with smaller events through the year.
Fundraising goal of $320,000 per year.
Assist in developing and implementing annual fundraising strategies.
Plan, coordinate, and execute fundraising events, campaigns, and community initiatives.
Research and identify new fundraising opportunities, sponsorships, grants, and donor prospects.
Cultivate relationships with donors, businesses, foundations, and community supporters.
Support donor stewardship through acknowledgements, impact reporting, and ongoing engagement.
2. Program Operations & Nonprofit Partnerships
Goal of Quarterly Site Visits with Current Partners + Weekly Meetings with New Partners
Manage relationships with nonprofit meal distribution partners.
Coordinate weekly meal donation schedules, deliveries, and transportation logistics.
Ensure accurate communication between kitchen staff, volunteers, transportation teams, and partner organizations.
Monitor program needs and identify opportunities to improve efficiency and impact.
3. Food Procurement & Second Harvest Management
Weekly ordering through SecondHarvest + Monthly Reports
Manage the organization's Second Harvest Food Bank account, including ordering, receiving, inventory coordination, and required reporting.
Maintain compliance with all food safety and reporting requirements.
Identify and establish new sources of donated food and in-kind resources.
Build relationships with food manufacturers, distributors, grocery partners, and community donors to increase food donations.
4. Program Development
As needed basis.
Assist in the development and launch of new community programs.
Lead planning efforts for Moonstar's future community pantry and related initiatives.
Research community needs and recommend new programs that align with the organization's mission.
Develop processes, procedures, and program documentation to support organizational growth.
5. Community Outreach & Partnership Development
As needed basis. Goal of attending events 1x a month or more.
Build and strengthen relationships with nonprofit organizations, schools, businesses, government agencies, and community groups.
Conduct kitchen tours for prospective partners, donors, volunteers, and community leaders.
Represent Moonstar Charitable Organization at community meetings, networking events, and outreach opportunities.
Identify opportunities for collaborative partnerships and expanded community impact.
6. Communications & Marketing
Monthly newsletters + quarterly or semi-annual communications with large donors.
Develop and distribute newsletters, organizational updates, and constituent communications.
Assist in creating content that highlights program impact, volunteer opportunities, fundraising efforts, and community stories.
Maintain consistent communication with supporters, volunteers, and partner organizations.
7. Strategic Planning & Organizational Leadership
As needed basis.
Work closely with the Executive Director and Board President to implement short-term and long-term organizational goals.
Assist in executing strategic initiatives as directed by the Board of Directors.
Monitor progress toward organizational objectives and recommend improvements.
8. Social Media & Digital Presence
Posts at least 2x a month on platforms: LinkedIn, Facebook, Instagram.
Manage and maintain Moonstar Charitable Organization's social media platforms, including LinkedIn, Facebook, and Instagram.
Develop engaging content that promotes programs, events, volunteer opportunities, partnerships, and community impact.
Monitor engagement and help grow the organization's online presence.
9. Executive & Board Support
Bi-Monthly Board Meetings plus any additional urgent meetings.
Work directly with the Executive Director in preparation for Board of Directors meetings.
Assist with agenda preparation, meeting materials, presentations, and supporting documents.
Attend board meetings, record meeting minutes, and distribute approved minutes.
Maintain board calendars, meeting reminders, and organizational updates.
Support follow-up on board action items and organizational priorities.
Qualifications
Passion for community service and nonprofit work.
Excellent organizational and project management skills.
Strong written and verbal communication abilities.
Experience coordinating multiple projects simultaneously.
Ability to build relationships with diverse community partners and stakeholders.
Proficiency with Microsoft Office, Google Workspace, and social media platforms.
Experience in fundraising, nonprofit operations, community outreach, or program management is preferred.
Ability to work independently while collaborating effectively with staff, volunteers, and board members.
