There With Care of the Bay Area: Operations Coordinator

There With Care of the Bay Area is seeking an Operations Coordinator who will collaborate with the Director of Operations to ensure a consistent structure for the organization’s operational processes and data tracking needs. This role involves distributing care packages through partner locations to families in need, as well as packing family deliveries and loading volunteer vehicles with the necessary items. The Operations Coordinator will also manage the restocking and cleanliness of both the warehouse in Redwood City and the pantry in San Francisco, while assisting with additional tasks to support the Operations Team as needed.

About There With Care of the Bay Area:

There With Care’s mission is to provide a wide range of thoughtful and fundamental services to families during the critical phase of their child’s medical crisis. Families with a child who has a critical illness are referred by medical social workers from hospital partners (Lucile Packard Children’s Hospital Stanford and UCSF Benioff Children’s Hospital Mission Bay in San Francisco). There With Care builds support around families through a community of people and a network of services. Each family’s services are individualized to ease the challenges of life’s day-to-day obligations with compassion and care. There with Care was founded in 2005 and There With Care of the Bay Area was founded in 2011. 

Responsibilities

  • Responsible for packing the Care Packages, all while ensuring inventory accuracy.

  • Collaborates with the Director of Operations on management of the warehouse, maintaining program inventory quantities, maintaining grocery and produce inventory quantities, and other items that require replenishment in the warehouse. 

  • Monitors expiration dates and rotates program items when restocking to ensure no expired product is being delivered. 

  • Maintain cleanliness and organization of warehouse, including signage, labels, bin lids, counter tops, shelving, freezers, and fridge. 

  • Responsible for weekly, quarterly, and yearly warehouse inventory counts.

  • Enters received items into the Inventory System (Salesforce).

  • Inventory Management; quarterly and spot checks throughout the year. Assist with the end-of-year physical inventory. 

  • Primary point of contact for volunteer deliveries.

  • Order and pick up from food partners.

  • Receives and processes incoming donations. 

  • Transports care packages weekly to the pantry in San Francisco for delivery to Family House and Benioff Children’s Hospital using the company van.

  • Follow all safety procedures.

  • Other tasks related to operations as assigned.

  • Has excellent time and project-management skills; yet able to be responsive at any moment to adjust workload and provide care to meet an immediate need.

  • Has excellent follow through and clear communication skills.

  • Has excellent data entry skills and is able to manage large amounts of data.

  • Has the ability to see how his/her role contributes to the larger mission of the organization.

  • Has strong interpersonal skills and the ability to evaluate volunteer strengths.

  • Is comfortable working with a volunteer staff and able to mentor and support this group.

Compensation

  • Salary Range $20-$23 per hour, based on experience

  • Part-time, 25-28 hours per week, Monday – Friday

  • Vacation, Sick leave, and Floating Holidays
