Young Chamber Musicians: Administrative Director

Young Chamber Musicians is looking for an Administrative Director to oversee the administration, management, and coordination of its esteemed music education program, built over 18 years by the Founder and Artistic & Executive Director. The role requires strong organizational skills and technological proficiency to manage a complex schedule of educational activities and performances primarily at Kohl Mansion/Mercy High School in Burlingame. A key component of the position is fostering personal relationships with various stakeholders, including students, parents, coaches, venue partners, and staff. The ideal candidate should possess excellent communication skills, a deep understanding of classical music, and a passion for advanced conservatory-level music education, ensuring long-term community support and financial sustainability for the organization.

About Young Chamber Musicians:

Young Chamber Musicians (YCM) is a 501(c)(3) non-profit organization that presents an award-winning pre-college chamber music training program for highly motivated and very advanced young string players and pianists ages 14-19 from throughout the Greater San Francisco Bay Area. For nearly two decades, YCM has offered a rigorous yet supportive environment for gifted young musicians who have high potential and demonstrate abilities well beyond their years. YCM’s mission centers on advancing the skill and artistry of these exceptional students through the focused study of chamber music in preparation for a future as performers, advocates, and life-long participants.

The YCM curriculum is designed specifically to help its students reach these goals through weekly coaching sessions led by outstanding local teaching performers and monthly master classes with international chamber music performers and professional ensembles. Students perform often in public concerts and attend performances offered by the Music at Kohl Mansion chamber music series at no cost. Admission to the program is by audition and limited to roughly 30 students per year. YCM's season takes place over the course of two 15-week semesters (fall and spring) beginning the last week of August and ending the third week of May with eight holiday weeks distributed throughout the 30-week period.

Responsibilities

The Administrative Director will be responsible for the execution of all administrative aspects of the organization's educational and programmatic activity and maintenance of the administration of the YCM, Inc. business in partnership with the Artistic & Executive Director and in collaboration with multiple partners and stakeholders, including but not limited to the following:

  • Oversight/maintenance of program calendar, student/coach schedules, and the application/admissions process.

  • Planning, promotion, production, and attendance at public events, e.g., student masterclasses and concerts, outreach performances, playouts, and auditions.

  • Maintenance and advancement of partnerships with host venue Kohl Mansion/Mercy High School Burlingame, and other community partners.

  • Management of technology and information systems, including Google Workspace for approximately 50 users (Artistic & Executive Director, students, parents, coaches); maintenance of website, and oversight of the Zeffy donor platform.

  • Assistance in fundraising, including production of hard copy and digital donor appeal materials; prospect research, grantwriting, and donor relations (correspondence with donors, audience, general public).

  • Maintenance of records and data, and coordination of reporting for legal/regulatory nonprofit compliance.

  • Attendance at quarterly Board meetings. Coordination with Finance Administrator on budgets and Production Manager on public events.

Qualifications

  • Minimum three years in nonprofit administration, operations, public relations, and/or event management. Some experience in fundraising, while not required, would be an advantage in this position, as would prior experience in youth music programs.

  • Bachelor’s degree from an accredited institution. Music training is strongly preferred.

  • Impeccable attention to detail, resourcefulness, and ability to manage competing priorities.

  • Ability to draft, edit, and revise marketing, fundraising, newsletter, social media, and other types of copy for communication with stakeholders and the public.

  • Proficiency in Google Workspace (admin-level), Squarespace, Mailchimp, Zeffy, and Microsoft Office (Mac). Experience with photo editing desirable.

  • Professional, friendly, and enthusiastic, with a helpful attitude and demeanor.

  • Ability to ascend/descend stairs, lift 20 lbs.

REQUIREMENTS AND PROFICIENCIES

We are seeking an individual who demonstrates a positive outlook, shows initiative, and is able to work in close partnership with the Artistic & Executive Director to fully grasp the needs of each phase/aspect of the program, and to understand and respect the style of the program that the founder has created, in order to anticipate, plan, and execute programmatic activities. The ideal candidate is proactive, able to see the program globally and to approach challenges creatively, with a genuine interest in understanding the diverse and intricate operations of our organization and its programs.

The successful candidate will possess:

  • A commitment to partnership and collaboration;

  • Outstanding administrative, organizational, technological, and interpersonal abilities;

  • In-depth knowledge of, and enthusiasm for, classical music and advanced musical training at the pre-college level;

  • Experience in arts education, or previous involvement in youth music programs; and,

  • Exceptional verbal and written communication skills, coupled with a professional decorum.

Compensation

  • $85K-100K per year (DOE), including two weeks paid vacation.

LOCATION: Flexible hybrid remote/in-person schedule at the discretion of the Artistic & Executive Director. Onsite selected Tuesdays and Thursdays 4:30-8:00 PM during the season (late August - end of May) at Kohl Mansion/Mercy High School and/or Goodwater Capital in Burlingame, as well as on-site at all public events (masterclasses and student concerts.) Office space (shared with Artistic & Executive Director) at Kohl Mansion with a designated laptop MacBook Pro.
