Puente de la Costa Sur: Executive Assistant

Puente de la Costa Sur is seeking an Executive Assistant. The Executive Assistant serves as a trusted partner to the Executive Director, providing comprehensive administrative support. This full-time, on-site role is responsible for managing the Executive Director's calendar, coordinating communications with internal and external partners, supporting the Executive Director's clerical and accounting functions, and ensuring day-to-day administrative tasks are handled professionally and with discretion. The ideal candidate is highly organized, proactive, and able to work independently across a wide range of responsibilities — from preparing financial forms and maintaining filing systems to representing Puente in meetings and participating in community events. This position requires flexibility, including regular evening availability and occasional weekend work, and a deep commitment to Puente's mission of fostering wellness, equity, and prosperity on the San Mateo County South Coast.

Responsibilities

  • Coordinating logistics for staff meetings, staff activities, board meetings and retreats

  • Manage and maintain the Executive Director’s calendar, including scheduling meetings, appointments, and travel arrangements

  • Assist with logistics for volunteer activities led by Executive Director

  • Communicate with partners on behalf of Executive Director

  • Represent Puente in some meetings on behalf of Executive Director

  • Assist with preparing internal communications

  • Assist drafting external communications

  • Maintain paper and electronic filing systems, ensuring documents are organized, up to date, and easily retrievable

  • Prepare check requests, credit card transaction forms the request of the Executive Director

  • Make purchases, payments and set contracts at the request of the Executive Director

  • Assist with other tasks as needed by the Executive Director

  • Attends staff meetings, retreats, and other meetings as needed and participate in organizational events, including training, fundraising and program meetings

  • Provides organizational support as needed, including required participation in a minimum of two organization-wide events annually, in addition to core job duties

  • Drives participants as needed for programming or organizational needs using Puente vehicles.

Qualifications

  • Minimum education of AA OR at three years of relevant professional experience

  • Able to handle complex situations and work independently

  • Strong problem-solving skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment

  • Comply with the training required by the agency and attend professional development

  • Knowledge of the South Coast or experience working in a rural community, preferred

  • Ability to work effectively as part of a culturally diverse team

  • Availability to work evenings on a regular basis and occasionally on weekends as organizational needs require

  • Strong written and verbal communication skills in both English and Spanish; ability to communicate professionally across all levels of the organization and with external partners

  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams; experience with database or records management systems a plus

  • Current California Driver’s License and ability to drive to work related functions in and around Pescadero, La Honda, Loma Mar, San Gregorio, Half Moon Bay and the Bay Area.

  • Cultural competency to work with community members from diverse backgrounds, class and race

Compensation

  • Pay range: $29.00-$32.00 per hour, depending on experience and qualifications.
